Woodruff - Using SpineOMatic to make full sheets of call number labels

How to make full 8.5 x 11 -inch sheets of labels using Boston College's SpineOMatic software, Alma, and a laser printer.

Open SpineOMatic.

  1. If the screen shows Auto Print and Send to desktop printer, then SpineOMatic is set to print single labels.
  2. To change to making full sheets of labels, click on the triangle next to Review to open the setup panels.
  1. Click on the radio button next to Batch print.
  2. Verify that the page orientation is set to Portrait.
  3. Click on the ellipsis button next to Printer, navigate to the HP LaserJet 4200/4300 printer, and click on Print (nothing will actually print, though).
  4. The Auto Print and Send to Desktop printer settings for making single labels will now show as Auto Add and Add to batch (or Review and add to batch)
  5. Whatever batch number you are using will appear here. There are three available batches you can use.
  6. Insert a batch name here to help save your sanity and to make the removal of work orders a much smoother process.
  7. Click on Save.

Do not change any of the margins or other label settings.

You are now ready to scan in barcodes.

Click the scan button. The input box will change from pink to green.

Scan the barcode on the item. You should hear a beep from the barcode reader. The beep is not a guarantee that the item has scanned correctly, just that it scanned something.

The scan button can also be used to clear out any data from the input box.

  1. If the barcode scans correctly (no weird characters), and SpineOMatic finds the item in the system,
  2. you will see the item title in red above the Input box,
  3. and the call number will appear in the Output box (the yellow box in the sidebar). Important: if the call number needs editing, it must be done here in the Output box before it is added to the batch of labels. Once it has been added to the batch, it cannot be edited easily. You can only see the call number to edit if you have SpineOMatic set to Review. If you have it set to Auto Add, you won't have an opportunity here to edit it. There is another opportunity to edit the call number before printing.
  4. You can choose how many copies of the label you will need. This is helpful for booklets included with DVDs or CDs. This number will stay at whatever you set it to, until you change it. If you need multiple labels, change this number before you scan in the barcode.
  5. Once the call number is correctly formatted, click on Add to batch (in this case batch #1 is being used). You can have up to three batches in use at one time. The program will keep these items in the batch files even after you close SpineOMatic. You would have to deliberately choose to erase the batch.
  1. The call number will appear in the batch preview window in the center of the screen.
  2. The number of items in the batch will display here.
  3. The barcode reader will return to the Input box, ready for the next barcode number. The Output box will be cleared out, but the last title will remain [in red].
  1. If the barcode you scan is not in Alma, you will see a Bad Request error message.
  2. It is a little misleading that the item is not in the system, because there is a title that appear at the top of the screen, but it belongs to the last successful record that was scanned and retrieved from Alma.
  1. The cursor remains in the input box at the end of the number that was just scanned. You must click the scan button again to clear out the input box.
  2. If you don't, the next number you scan will just be added on to the previous number,
  3. and you will get another Bad Request message. You will still hear the same beep tone as you hear when a barcode scans correctly. There isn't a different tone that goes with errors/bad requests. You may see these error messages if you are trying to scan the barcodes too fast. SpineOMatic needs time to go up to the cloud, find our instance of Alma, retrieve the record information and bring it back to SpineOMatic, so be patient.
  1. If you click on the triangle underneath the R (at the end of the Input Box,
  2. SpineOMatic will display the last five barcodes scanned -good and bad scans of this current SpineOMatic session. If needed, you can select one from the list by double clicking on it. You will need to press [Enter] to get the information to appear in the Output box.
  1. Part of the SpineOMatic setup process is to indicate how many lines will fit on a label, and how many characters will fit on a line.
  2. If you scan a barcode and the call number is going to be outside the boundaries of the label, and these maximum parameters, you will be able to see it in the Output box, and
  3. a message box will pop up to let you know about the problem, in case you didn't catch it. Separate message boxes will appear for items that are too wide and for those that exceed the number of lines.
  4. Click on OK.
  1. Now you can edit the call number so it will fit inside the label. Any text visible in this output box can be edited before you add it to the batch. In this case, we would want the year to be on a separate line.
  2. Change the number of labels if you need to,
  3. then click on Add to batch.

Any changes made to the call number in the SpineOMatic program will not affect the Alma record, only the call number label.

If a call number has parentheses, you will need to delete them. If there are square brackets [ ]. they should stay.

  1. When you scan in microfilm, all of the details of the microfilm reel will appear.
  2. In this case, the information is all on one line, which sends the character count over the limit, and triggers an alert box. Click on OK.

Procures have been developed to reduce the manual editing necessary for making microfilm labels by tweaking the label settings temporarily. These will be listed in another document (coming soon).

Next Step - Removing the Work Order Status in Alma

After the call number labels have been made, trimmed and applied; and the books have been stamped and stripped, then the items need to be changed in Alma to reflect their current location - that the items are leaving Technical Services.
