Processing New Books Display

Manage Sets

Go to Alma > Resource Management > Search and Sets > Manage Sets

Public Sets

Click "Public Sets."

Locate UNIV NEWBK Set

Scroll through the public sets until you find one called UNIV NEWBK.  Then, go to Actions > Results for the UNIV NEWBK set.

Export Set

Export the set to Excel by going to Tools > Excel.

Copy Set

When the file opens, press CTRL+A to select the data and then press CTRL+C to copy it.

Open the New Books Analyzer Template

Go to F:\Stacks\Discrete Collections\New Books\ and open the file called "ALMA New Books Collection Analyzer Template"

Paste Set

Right click in cell A1 of tab "1. Paste List Here" and select "paste values."

Save List

Press CTRL+S to save the file at F:\Stacks\Discrete Collections\New Books\.

The file should be called "ALMA New Books Collection Analyzer Template YYYYMMDD"

Scan Barcodes

Open the tab "2. Scan Barcodes Here," click cell A2 and scan in the barcodes for the items in the collection.

  1. Any items that are on the list will appear with a green "Yes."
  2. Any items that are in the collection but not in the list will appear with a red "Not On List."

The Not On List items should be pulled, checked in, and routed wherever they are meant to go.

Copy Item to Remove

Open the tab "3. Items to Remove from NEWBK" to get a list of items that were on the list but were not in the collection.

Select the barcode of the first item to be removed from NEWBK and press CTRL+C to copy it.

  1. Change the search box to "Physical Items."
  2. Click inside the search box, press CTRL+V to paste the barcode, and hit Enter.

Edit Item

Click the hyperlink of the barcode of the item to edit it.

Remove Temporary Location Information

  1. Change "Item is in temporary location" to "No."
  2. Click the broom next to the Temporary Library to clear the temporary library and location.
  3. Press "Save."

Update Google Doc

Add number of items removed from New Books to the New Books Pull and Replace Statistics Google Doc found at:

Collect Items for New Books Display

Collect the items you plan to take out to the New Books Display, then open the Alma Scan In Items wizard found at Alma > Fulfillment > Resource Requests > Scan In Items.

Set Temporary Collection

  1. Open Change Item Information Tab.
  2. Verify the Change Type is "Temporary."
  3. Set the Location as "Woodruff New Books."
  4. Click into the Scan item barcode box and scan in the items going to the New Books Display.

Open Pulls Widget

Click "Open in a new window" from the widget.

Press CTRL+P to print the list.

Print the Pulls List

Physical Process

Take the items you just scanned into Woodruff New Books out to the New Books Display and add it to the collection.

Pull everything on the Hard Pulls List and enough items from the Soft Pulls list to balance the space.

Bring the pulls back to the Stacks Office for processing.

Collect Pulls for Removal from the New Books Display

Open the Alma Scan In Items wizard found at Alma > Fulfillment > Resource Requests > Scan In Items.

Remove Temporary Collection

  1. Open Change Item Information Tab.
  2. Set the Change Type to "Restore."
  3. Click into the Scan item barcode box and scan in the items pulled from the New Books Display.

Update Google Doc

Add number of added to and pulled from New Books to the New Books Pull and Replace Statistics Google Doc found at:
