Adding EDI information to Serial Order Records - Print

Do a repository search for the title

In this document, we will use the journal "Black History Bulletin" as an example

Identify the physical journal in the results

Click on the linked order

If there is more than 1 order listed, highlight the title on the spreadsheet and leave the order number column blank.  

Click on Edit

Confirm the Order line type is Print Journal - Subscription and the PO line owner is Robert W. Woodruff Library

If either of these types is different, highlight the title on the spreadsheet and leave the order number column blank

Confirm the Vendor Information has Ebsco as the Material Supplier. Hovering the cursor over the vendor name should show as Ebsco Subscription Services/SER-EBSCO/Account(S)/UNIV-BR2765001-AA.

The other fields in the Vendor Information section should not be changed.  These may be different based upon the title.

Change the Fund Name to match the fund name listed on the spreadsheet. To do this, first delete the Fund in the record by clicking the ellipses button and choosing Delete.

There is some difference between the fund names listed in the purchase order and the fund codes listed on the spreadsheet.  However, most are easily recognized as the same fund.  The above image shows the fund name, while the spreadsheet lists AFAM Serial.  This can be interpreted to mean African American Serial, so it does match the fund name listed in the purchase order.  Most fund names and fund codes are more obvious than this one and should present no problem.

Add the New Fund. You should be able to search for the fund by the code on the spreadsheet.

In the PO Line Details Section, add the Order number (column I) to the Vendor reference number box.

Then add the POL number from Alma to the Alma PO Number (column N) on the spreadsheet.

In this example, you would add 93854 to the column for this title.

Then choose Save, and then Go
