Woodruff Marking Quick Guide for Sorting Carts of New Books

This is a quick guide to identify items that will need more than just a call number label, and some need special handling. Following the sorting process makes the whole marking process smoother, reduces errors, and assists with the final routing of items once marking is complete. It also helps co-workers, especially if work on a cart is continued by another person. The process may take a little while, but it is definitely worth it as a sanity saver.

  • Identify items already catalogued for LSC and group together on cart [these should have orange Storage slips]at the beginning of where scanning will start (top shelf, left side).
  • Pull up the Marking Slip in each book until the entire call number is visible. Then…
  • Look for items that are missing call numbers [these will be sent back to the catalogers for corrections]
  • Look for call numbers that have formatting errors [these will be sent back to the catalogers for corrections]
  • Identify books destined for Preservation before being marked
    • Stapled & Thin
    • Spiral Bound
    • Music scores with parts for different instruments
    • Books that need repairs and/or book jackets attached.
  • Identify books destined for Preservation after being marked
    • CDs/DVDs & Maps included … to get sturdier pocket
    • Errata attached (to be glued in)
    • Pages/cover needs to be mended
    • Pages to be cut
    • Other notes on Routing Slips
  • Group together similar books for non-Stacks locations for easier routing later on and for ease in applying location labels (Music & Media, CFDE, Reference, Business Reference, Career Reference, Folio, Oversize, Science Commons)
  • Identify items with QH, QM, QP, QR and SF call numbers. These are HEALTH books and should be given to Lisa Granholm for cataloging
  • Verify that all M call numbers have Music & Media as the library and not Woodruff.
  • Look for small books to make sure they don’t get lost between other books or hidden at the end of the rows on the middle shelves.
  • Look for Routing slips from catalogers (leave these in the books, make sure they are separate from the Marking Slips. Some Routing slips are for the Reference of Business Reference staff.
  • Look for items that will need manual editing of the call numbers… too many lines [more than 8]/too many characters per line [more than 12]/visual separations of parts needed

LSC (Library Service Center)/Storage (will have an orange slip)

Music & media

Reference (get Music & Media Library stickers + MM-REF stickers)

Miniature Music Scores (get Music & Media Library stickers + red cloth MINI stickers)

Folio (get Music & Media Library stickers + red cloth FOLIO stickers)

Music Media Desk (Music & Media Library stickers + MM-Desk)

Stacks (get Music & Media Library stickers)

Reference (get red cloth REFERENCE stickers)

Bus-Ref (get Bus-Ref stickers)

Career Ref (get Career Ref stickers)

Gov-UK (get GOV-UK stickers)

Gov-UN (get GOV-UN stickers)

Route to Preservation

To become PAM Bound (send to Preservation before being processed by Marking)

Repairs Needed (some are sent to Preservation before being processed by Marking, some are sent after being processed by Marking)

Need Pockets or things attached (Send to Preservation after being processed by Marking)

Rush Requests… Pull these from the cart and give to Laura or Beverly

Rushes for patrons … (will have a gold slip)

Rushes for Reserve Desk (will have a gold slip)

Rushes for Location (usually Stacks) (will have a gold slip)

Expedites … have light blue slip

CFDE [Center for Faculty Development & Excellence] (get green cloth CFDE stickers)

Oversize … too tall for compact shelving (get red cloth OVERSIZE sticker)

… Different measurements for N (Art) books. Use sizing board. (get red cloth OVERSIZE sticker)

Folioreally big books, must lay flat to avoid warping. Use sizing board. (get red cloth FOLIO sticker)

CD-Sound CDs: have M call number (get Music & Media Library sticker, MM-Desk and CD-Sound Stickers)

Shelfready - What they look like … count as New Books

Remarks - not the same as new books, different process

Health Books … (will have pink slip) … Add HEALTH/TYE/MIDTOWN/GRADY to the label after the call number

Science Commons books … get Science Commons sticker

Staff Use books … get Staff Use sticker

PAM Bound Items (after being returned from Preservation)

Music Scores (get Music & Media Library stickers) + stamp & strip + barcode

Non-music books … stamp & strip + may need to replicate barcode [may be New books or Remarks]
