MARKING - Using SpineOMatic to make single call number labels

Instructions on how to make single call number labels using Boston College's SpineOMatic software and a local Zebra printer.

Before you can make call number labels, be sure to set up SpineOMatic to make single call number labels first.

This document was written using SpineOMatic v.7, Windows 10, Office 2016 and Alma.

Open SpineOMatic.

  1.    If the screen shows Auto Print and Send to desktop printer, then SpineOMatic is set to print single labels.
  2.    To change the settings to make full sheets of labels, or to verify which printer is selected, click on the triangle next to Review to open the setup panels. You also have the option to switch to Review instead of Auto Print if you want to check or change things before you send the information to the printer.

 

Review and/or change printer settings

  1.    Click on the Print Setup Tab.
  2.    Next to Printer type, select the radio button for Single label desktop
  3.    Click on the ... button next to Printer to select a printer from your list of available printers.
  4.    A new window will open. Scroll through the list to find your desired printer. In this case the set up is for the Zebra TLP2844 printer, and the printer driver used is ZDesigner TLP 2844.
  5.    Click once to highlight the printer name.
  6.    Click on Apply.
  7.    Click on Print. Don't worry, nothing will unexpectedly print.

 

  1. Click on the Save button to save any changes.
  2. Click on the triangle next to Review to minimize the setup panels.
  1. Click the radio button next to Review
  2. If the cursor is not in the green box next to the scan button, then click on the scan button.
  1. Scan the item's barcode into the box. SpineOMatic will connect to Alma, in the Cloud, to find the record.
  2. If it finds a matching record in Alma, it will send the title and call number and other information back to SpineOMatic. You do not need to be logged in to Alma for this process to work.
  3. If you need to edit the call number, you can make changes here in the yellow Output Box. Changes made here do not affect Alma. In this case, the NO.2 needs to be on a new line.

Once you have the call number formatted the way you want, click on the Send to desktop printer button.

  1. If you need to see previous barcode numbers, click on the triangle next to the scan box
  2. It will reveal a drop down list of the last 5 barcodes scanned (good & bad scans) from the current SpineOMatic session. Double click on a number to activate it and bring it back to the scan box. Clicking on the triangle again will close the drop down list.
  1. If you scan an item and it hiccups (note the % sign), or if the barcode is not in the system,
  2. You will see this error message.

3.     To try again, click on the scan button to clear the box to be able to scan the barcode again. If the item is truly not in the system, the book will need to be sent back to the cataloger for investigation and correction.

Once the label prints correctly,  you will need to

  • Cover the label with 1-inch scotch magic tape
  • Pop any air bubbles that might affect viewing the call number (use the tip of an X-Acto knife to puncture the tape to let the air out)
  • Trim the label (top, bottom and right sides) to make it a more manageable size.
  • Apply the call number label and any location labels needed to the book. The book should already have the Emory property stamp and security features added.

Next steps: Removing the work orders in Alma to reflect that the item is no longer in Technical Services.

Removing Work Orders Manually

  1. Log in to Alma.
  2. Hover the mouse over the Currently at location
  3. A pop up window will appear with the full name of your location in Alma. It needs to be set to Robert W. Woodruff Library - Woodruff Technical Services for this first round of removing the work orders. If the location is not Technical Services, click on the location pin icon.

4.    When the new pop-up window opens, click on the drop down arrow.

5.    Navigate through the list of locations you are allowed to access, and click on Robert W. Woodruff Library - Woodruff Technical Services to select it.

6.    To always be able to see your current location, without having to hover, check the box next to Always show current location.

  1. Click on the blue Menu button next to the word Alma.
  2. Under Fulfillment, click on Scan in Items.

  2. select Technical Services (default, auto-assigned)

  1. Next to Done, click the radio button for Yes (very important, don't miss this step, or the work order will not be removed).
  1. Click in the Scan item barcode field, and scan in the barcode number from the marking slip. You can also type in the number if the barcode is defective.
  2. You will see the information in the window below the the item information and where the item is going next. 90% of the time, books will show with Destination = Robert W. Woodruff Library and Request/Process Type = Transit for reshelving.

In the upper right corner, next to Manage In Process Items, click on Exit.

Next, Using the Current location drop down boxes, you will need to change your location to Robert W. Woodruff Library - University Circulation. Click once to Select it.

  1. Click on the blue menu button next to the word Alma.
  2. Under Fulfillment, click on Scan in Items.

The Circulation Scan in Items window is a little different than the Technical Services window.

Next to Work Order Type, use the drop down arrow to select Technical Services.

Next to Set Status To, use the drop down menu to select Technical services (default, auto-assigned)

  1. Next to Done, select the radio button for Yes.
  2. Click in the Scan item barcode field, and scan in the barcode number from the Marking Slip.

You will see the true destination for the item. This one happens to be a Reference book.

When you are all finished scanning items, click on the Exit button. You may want to change your current location back to Technical Services to be ready for the next batch.
