Resource Description Cataloging Team Calendar

Instructions on how to use the Cataloging Team shared Outlook calendar to record standard schedules and changes for specific days. This is a calendar that everyone on the team can view and edit.

In your Outlook Shared Calendars, this is how the schedule calendar is listed.

The calendar is setup to display the Work Week, since we are closed on weekends.

1.   You can see all of the shift exceptions for the specific week.

2.   The upper portion has everyone's normal schedules.

If you are also viewing your own calendar at the same time as the Team calendar, you may see both calendars overlaid on top of each other, which could get confusing. To view only the Team calendar, just click the x next to your personal calendar.

To create a new shift, double click on a blank space on the day you want. If it is not exactly the start time you want, it can be adjusted.

1. A new window will appear. Use the drop down arrows next to the start and stop times to select the correct times.

2. In this example, the stop time for the shift will be 12:00PM, so click once to highlight it.

1. Under Title, type your name and a reason (usually out or vacation)

2. Verify that the hours of the shift are correct.

3. On the top Menu Bar, Show As should be set to Out of Office, and Reminder should be set to None (the calendar creator would get the reminder, not you).

4. If you would like to make this a recurring shift, click on the Recurrence icon.

5. A new window will appear. It will show the hours of the shift.

6. Add check marks for each of the days that you would like to have this same shift.

7. Click on OK when finished.

1.    You will now see your name

2.    The start and stop times will be listed.

3.    If you have made this a recurring shift, the circle with arrows indicates that this is a recurring shift. You can edit one instance or all of the shifts by clicking on Edit Recurrence

4.    When you are finished, click on Save & Close.

You can now see the new shifts added to the calendar. To make changes, double click on the shift itself.

1.   You can edit a single shift, or all of the recurrences that you entered, by clicking the appropriate radio button.

2.   Then click on OK.

A new window will open with the information about the shift.

1.   You can choose to delete the shift

2.   You can edit the start and stop times

3.   You can also edit all of the recurrences of the shift at one time, such as multiple vacation days

4.   When finished, click on Save & Close.
