Resource Description Student Schedule Calendar in Office 365

Instructions on how to use the Student Resource Description shared Outlook calendar in Office 365 to record standard schedule and changes for specific days.

In a web browser, navigate to https://email.emory.edu/

The Log in screen will appear.

1.   Type in your Network ID (this is usually the text part before the @ symbol of your email)

2.   Type in your Password.

3.   Click on Sign in, or press [Enter].

You will see a screen asking if you want to stay signed in. If you are on your own personal computer, you can select Yes. If you are on a shared workstation within the library, select No just to make sure no one else can access your email.

1.   In this case, Office 365 opened in Outlook email. If your Office 365 opens in another program, that's okay.

2.   Just click on the waffle grid in the upper left corner and click on Outlook.

3.   Then in the sidebar menu that appears, click on the Calendar icon.

1.   Under My calendars, you may see several different calendars. Your main calendar will show with a check mark in a circle.

2.   The shared calendar used by all of the students in the department (and is also accessible by the supervisors) is called Students Resource Description

3.   If you don't see it listed under My Calendars, scroll farther down and look under People's calendars or Other calendars.

By default, the check box next to your personal calendar is selected.

You will want to unselect this so that you are not looking at the schedule calendar and yours at the same time. If multiple calendars are both checked, the information will display as overlapped, which can get confusing. Once you add your information into the schedule calendar, you can turn your calendar back on by rechecking the box.

To Add a Shift

To add a shift to the calendar,

1.   Navigate to the first day of the shift.

2.   Click once in a blank space in the day. It's okay if it isn't when your shift will actually begin. You will be able to adjust the start and stop times.

3.   A new pop up box will appear where you can enter the data about your shift.

1.   Where it says Add a title, type in your first name.

2.   Next to the Start Time, verify that the time is what you want, or use the drop down menu to select your actual start time for the shift.

3.   Next to the Stop Time, use the drop down menu to select when you want this shift to end by clicking once on the new time.

1.   You will see the start and stop times that you have chosen for this day.

2.   Click on More options

You will see additional fields that will help identify and customize your shifts.

1.   Click on the 15 minutes before next to the Reminder Clock

2.   A drop down (or up) menu will appear. Select Don't remind me.

The person that created the calendar is the only one that would get the reminder notification, not you. If you want a reminder about a shift, you would need to add it to your own personal calendar.

How to make a recurring shift

The next category that needs to be filled out is the recurrence field. If you plan on working the same schedule every week, you can tell Outlook to repeat the hours on repeating days. The Recurrence field displays as Don't repeat.

1.   Click on the drop down menu next to Don't repeat

2.   Navigate to Custom.

A new window will appear. In this case, the first shift that was created was on a Monday.

1.    If you plan to work the same shift on Wednesdays and Fridays, click once on each of those days.

2.   You will a confirmation that the additional days have been added.

3.  Do not click on Save yet.

1.   Do not click on Save yet.

2.   You will want to adjust the end date, otherwise it repeats for a long time. Click on the end date.  

A calendar will appear. To change to a different month, click on the name of the month.

1.   You can see the months for the whole year.

2.   Click on the month you want. For this example, we will be using December, since that is when the semester ends, and you may have a different schedule for the next semester.

Click on a date in the month you have chosen.

1.   You will the date appear as the new end date.

2.   Now you can click on Save.

1.   To continue the customization of your shifts, you will need to click on the drop down button next to Categorize.

2.   Every student's name should be listed at the top of the list of categories, and all are color coded too. Click once to select your name.

3.   If your name is not listed at the top of the list, click on All categories. Your name may then appear in the list. If it is not in the list at all, it can be added. Ask for help, please.

Once you have selected a category, click on Save.

You will be able to see the calendar with all of your repeating shifts in your designated color. If you really hate the color that was chosen, it can be changed, just ask. If you have different shifts for other days of the week, you can add them in the same way.

To change the time on one shift or multiple shifts

If you need to change the times for a shift, either just one shift, or all of the shifts for that same day, such as all future Mondays, you can you edit them.

1.   To edit, click once on the shift in question.

2.   A pop up window will appear. Click on Edit.

3.   Another pop up window will appear where you can choose to edit just one shift (This event), or once and future shifts (This and all following shifts or All events in the series).

 

In this example, for just this one day, I need to adjust the end time of the shift.

1.   Use the drop down arrow next to the end time to select a new time.

2.   Click on Save.

To delete one or more shifts

To delete a shift (or multiple shifts) from the calendar,

1.   Click once on the shift

2.   Navigate to Delete in the pop up menu

3. Select either one single shift (This event), or multiple shifts from this shift onwards (This and all following events or All events in the series). The shifts will disappear from the calendar.
