Bound-Withs -- Items with multiple works bound together

Introduction

Sometimes, multiple items from different works are bound together into a single volume. Unlike a collective title (such as collected plays of Shakespeare), these are distinctive works that were originally published separately, but were later bound together for a variety of possible reasons. These volumes are called "bound-withs."  Because each "work" in a bound-with is a separate bibliographic entity, each one should be cataloged individually to capture all of the essential descriptive and subject elements of the work.

This document addresses the specific type of bound-with where there is no collective title created during the binding process, but rather the distinct works have simply been brought together in this single item. A later document will deal with the collective bound-with that contains a parent-child relationship.

In typical bound-with volumes, there is one barcode and one item, but there are separate bibliographic records for each work. The item and barcode are attached to the bibliographic record for the first work in the volume, while any later works will simply have 773 fields that create the link back to that item.

By linking to the item from each secondary bibliographic record, DiscoverE will show when that item is checked out or otherwise unavailable under every title that is linked to the primary record.

Create "Primary" Record in Alma

Create "Primary" Record in Alma
  1. Import the record for the first title in the bound-with item.
  2. Create the Holding record for the item.
  3. Add the item to the Holding record.
  4. Note the Bibliographic record's MMS ID, Title (245), and the item barcode.

Create "Secondary" Record(s) in Alma

Create "Secondary" Record(s) in Alma
  1. Import the record for the secondary title in the bound-with item.
  2. Add a new field with tag 773 0_ to this record.
  3. Add a $w with the Primary record's MMS ID to this 773 field.
  4. Add a $t with the Primary record's Title to the 773 field.
  5. Add a $g with "no: " followed by the Item barcode to the 773 field.
  6. Once done, the Secondary record just created should have a 773 field similar to that above.
  7. Repeat these steps for every title included within the bound-with after the first (most bound-withs likely only have 2-3 works, but could have many more)

Wait for Linking Job and Primo Publishing

Alma will link the records overnight, and within a few hours those linked records will be exported to DiscoverE. Once this publishing is complete, the records should display similarly to the above DiscoverE screen.

Note that both titles show the same location for the item, since it is the same item in both cases.

One final note! This linking does show up in Alma itself, but only displays on the bibliographic level. The item-level link described above only affects the Primo/DiscoverE display.
