Number of Pieces for Monographs

Number of pieces for monographs is recorded in the Physical Item Editor  - General - Pieces

  • Only record number of pieces if a book in hand contains a CD, DVD, map, poster or other supplemental materials that will stay with the item.  
    • Book plus CD - 2
    • Book plus CD plus poster - 3
    • If you want to record the complexity (e.g. 1 poster, 2 CDs, 1 folded map), use Internal description note (optional)
  • Add Route to preservation flag to alert Marking to send an item to preservation to secure supplemental materials.

Pieces for scores and media materials.

For scores and media materials in addition to recording a number of pieces in Pieces field of the item record, record it in the fulfillment note.

Number of pieces for music scores and media (DVDs, Blu-Rays, CDs) is recorded in Item Record fulfillment note

DVD and Blu-Ray Discs

Add fulfillment note to item record with the number of pieces including the following

  • number of discs
  • number of leaflets (piece of literature with NO staple)
  • number of booklets (piece of literature with binding)
  • any other inserts
  • Note: A DVD case is not included in the number of pieces, but we do count a cover that slides over the case. If the slipcover has the same information as the cover insert, it can be recycled, but if it is retained to keep parts together it needs to be counted.

Examples

  • 1 disc + 1 case = No labels required. No fulfillment note required.
  • 1 discs + 1 booklet = 2 pieces
  • 5 discs + 1 slipcover = 6 pieces

CDs

If pieces include only 1 disc, 1 case and 1 booklet, leaflet or insert, do not add no. of pieces to fulfillment note.

Add fulfillment note to item record with the number of pieces if

  • number of discs is greater than 1
  • 1 disc and 2 more booklets, leaflets and inserts
  • number of leaflets (piece of literature with NO staple), booklets (piece of literature with binding) or any other inserts is greater than 1
  • Note: A CD case is not included in the number of pieces, but we do count a cover that slides over the case. If the slipcover has the same information as the cover insert, it can be recycled, but if it is retained to keep parts together it needs to be counted.

  • 1 disc + 1 case + 1 insert (small booklet) = No labels required. No fulfillment note required.

Music Scores

Add fulfillment note to item record that indicates how many pieces are in a unit. With the exception of covers (which are not counted), pieces are defined as separately bound items OR single sheets.

Examples

  • 1 bound score, plus 4 parts in pockets = 5 pieces
  • 12 individual sheets with 1 cover wrapping = 12 pieces
  • 21 individual sheets with 3 covers = 21 pieces
  • 1 bound score, plus 3 parts and 5 more individual sheets in pockets = 9 pieces

Music Scores with CDs

Keep CD with a score. Add fulfillment note to item record that indicates how many pieces are in a unit including CD or other media.

Examples

  • 1 bound score with CD = 2 pieces
  • 1 bound score, plus 3 parts in pockets, plus CD = 5 pieces
