Cataloger Instructions for Order Services Materials
Routed on Book Trucks
- Items with blue or red POL slips need to be searched by POL, and only this MMSID must be used for cataloging
- Do not overlay or reuse suppressed Order Services bibs
- Search for a Bib record by PO Line in Alma
PRINT ONE-TIME PURCHASES (single monograph):
- Firm Orders -- These are monographs that are not part of a set record or any kind of continuation. The majority of firm orders have ALMA POLs (purchase order lines)
- A blue-bordered POL# flag will be inserted in these items
- The given Bibliographic record with the POL attached must be used for items with blue POL flags. The attached bib can be edited or overlaid by preferred records, but the given POL needs to be attached to the final bib record.

- No additional records (a new MMS ID) that are not attached to the given POL should be imported and created for these items
Shelving Located in Center Aisle of Room 128
NEW STANDING ORDER
- A Suppressed Standing Order BIB used for check-in by Order Services is set up in ALMA
- Do Not overlay the suppressed Order Services Bib for this series
- Do Not give to students to search
- Cataloger must determine treatment for this NEW standing order
- Notify Pat of decision re: cataloging treatment for series for receiving future items
STANDING ORDERS CLASSED TOGETHER
- A suppressed Standing Order BIB used for check-in by Order Services is in ALMA
- A cataloged ALMA set record is already in use for these volumes
- DO NOT OVERLAY Order services suppressed BIB for this series
- Sorted & Shelved in center aisle under label above for cataloging treatment
- No OCLC search should be performed for items sorted in this manner
- No OCLC record should be downloaded or overlaid
STANDING ORDERS CLASSED SEPARATELY
- Suppressed BIB used for checking in standing order by Order Services
- Sorted & Shelved in center aisle under label above for cataloging instruction
- Catalog individual title in series with its own call number on a NEW record
- When searching for OCLC record, DO NOT overlay the Order Services BIB in use for check-in
Added Volumes
Approval Added Volumes:
- Order Services finds ALMA set record for item received in approval plan
- No flag will be inserted as no PURCHASE ORDER LINEs (POLs exists for approval plan materials
- No OCLC search should be performed for a ‘new’ record for items placed on Added Volumes shelving
- Search ALMA for set record
- Add item to holdings
* If mixed treatment of series is found by Order Services search (both a set record and addition series titles cataloged individually), Order Services will route to Cataloging for decision as to whether the item is a bona fide added volume
Firm Added Volumes:
- These items have PURCHASE ORDER LINEs (POLs) in ALMA
- Order Services inserts red-bordered flag with a handwritten Purchase Order Number
- An ALMA Set record exists for the item to be added to, so:
- No new OCLC record for the set should be added to the database
- Add item and holdings to set record found using instructions below
