Woodruff: Dealing with Suppressed Alma Records
Brief instructions on how to deal with suppressed Alma records.
Alma records can be suppressed on the Bibliographic level, the Holdings level or on the item level, and note that suppressed records will always be visible in Alma, but not visible to the public in the library catalog.
- BIB level suppressed records affect all libraries that own this title, because the bib record, all holdings records, and all item records will not be visible in the library catalog.
- HOLDINGS level suppressed records affect all items that are linked to the suppressed holdings record, but the bib record, all other holdings records, and all item records linked to other holdings records will be visible in the library catalog
- ITEM level suppressed records (suppressed using a temporary location) affect only those items that are suppressed, and the bib record, all holdings records, and all other items will be visible in the library catalog
For items without any inventory, if all Holdings are suppressed, the entire record will be invisible to the public.
The CaiaSoft [Circulation, Accession, Inventory, Analysis] software database used by the LSC can be checked to see if the item is at the LSC. Sometimes there are inconsistencies between Alma and CaiaSoft. The software requires special credentials to access.
Sometimes suppressed items and titles were accessioned to CaiaSoft at the LSC, but their location was not updated in Alma.
- Someone with permissions will need to check the LSC software (“CaiaSoft”) to see if these suppressed resources were accessioned there without being unsuppressed.
- Steve Johnson and Sofia Slutskaya currently have permission to access CaiaSoft, and if given a list of barcodes of suppressed items, they can check for any suppressed items that may have been accessioned at the LSC.
