Woodruff - Lost/Missing, Withdrawn, Lost In Process
This document clarifies different parts of the Lost, Missing, Lost In Process, and Withdrawn procedures that are handled by different departments.
NB: We are no longer retaining and suppressing Alma bib records for material that we no longer physically have, but will now permanently delete them from the catalog. Because information associated with deleted records is retained forever in Analytics, we do not need to keep the actual suppressed records in the catalog for either statistical or Hathitrust access purposes.
Lost/Missing
STACKS APP An application puts a Process Status of Missing or Lost on items while they are being searched for by Stacks that stays on for 4-6 months. Both the records and this status are visible in discoverE (i.e., not suppressed). A weekly report of items with lost/missing status is sent to the selectors to see if they want to order anything.
STACKS APP When Stacks decides the items are permanently gone (after 4-6 months), an application takes the Process Status off and moves the bibs to the Withdrawn location, which is suppressed from discoverE. A weekly report of items in Withdrawn published in the last 20 years is sent to Katie for reorder.
OCLC HOLDINGS APP An application retrieves a list of UNIV bibs moved to Withdrawn the day before, extracts the OCLC numbers, double-checks the OCLC numbers in Alma to make sure there isn’t a duplicate record, and then removes EMU OCLC holdings.
DQM An error report is generated from the above process and emailed when present to DQM. DQM checks error report and corrects OCLC holdings as needed.
ACQUISITIONS Katie checks with Chris and the subject librarians to see if any lost/missing items need to be reordered.
CAM
- If a replacement copy is ordered and there is still a bib and holding in Alma, delete the Withdrawn holding and item and add a new holding and item (or change the holding location to the new location...same difference). The OCLC holdings will need to be manually reset upon new purchases until we finish the app to automatically add OCLC holdings.
- If a long-lost item returns to the library, Stacks will put in a peach slip saying “record not in Alma” and send to CAM with remarks. Copy catalog the book from OCLC and add OCLC holdings as if this was a completely new item.
STACKS APP Bibs stay in the suppressed Withdrawn location for one year and then are permanently deleted by an application.

Withdrawn
CATALOGING Bib records are permanently deleted from Alma.

Lost In Process
This rare status is applied when an item is lost somewhere in the Technical Services process before the item has been fully cataloged and processed.
CAM Pam applies the “Lost In Process” work order to items, lets Katie know to reorder the item, and tells Circulation we are reordering it if a patron has requested it.
ACQUISITIONS Katie reorders the item.
